Team K-man Board Minutes - 07-05-04

Call to Order
Meeting was called to order at 6:38 pm at Team Leader, Kass Flaig's home.

Committee Reports:
Membership/Treasurer - Treasurer reported a balance of $1103.54.
Sponsor Representative - Reported that Vintage Catering's static webpage is now available and that members received information pertaining to Vintage Catering via email. It was noted that several Team members were at the most recent Music in the Park series and that a good time was has by all. .
Team Leader - Introduced our new Advisory Members, Mike Bickel & Byron Hatcher, and thanked them for volunteering their time and energy. The Team Leader commented on the success of a recent Team K-Man Service Project(Santa Rita Rd clean-up).

New Business
Budget - Reported balance is $1103.54. A spreadsheet and chart that displays budget income and expenses will be made available on the Team website. It was decided that the Team would purchase an "easy up" and banner to be used at events and meetings. Advisory member, Mark Glenesk, will find out more information on this and report back. Also motioned and passed by The Board were annual Honorary Stipends of $600 for swim coach and $600 for Team Leader. The Team Leader, Kass Flaig, was thanked for her dedication and donations to the team for the past two years.
Dues - The Board decided that the current fee structure shall stand. Membership is $120. Spouses $60. It was discussed that, in the past, some members felt they should only pay part of the dues since they only want part of the benefits. It was decided that to not take part in activities is a member's choice. But, the membership of $120 is more than appropriate for the benefits available. It was decided that members will be asked to pay dues for the year, but if (a) member(s) had difficulty with this they may make arrangements with the Membership/Treasurer to pay dues semi-annually.
Member Benefits - It was decided to continue with the Membership clothing and accessory give aways. This makes up approximately 17% of member dues, but having the Team Wear is an important part of being a Team. This year members will receive a hat, shirt, bottle, and socks. Next year we look to change the Team shirt and give out different team wear.
Team wear /Voler - Additional Team wear will be available as well. This will be done by special order. Look for race wear and swim suits in the the near future.
Library - A Team Library will be made available to all members. Advisory Member, Byron Hatcher, will be coordinator of the Library. Members will be encouraged to donate books and magazines. The Team will also budget $100/yr toward purchasing books suggested by membership. Team members may check out the books at the Team Meetings.
Waiver Form - Legal matters may require team members to sign waiver forms. Two waiver forms were shared. Advisory Member, Mike Bickel, is having a lawyer look over the forms.
Incorporation - It was decided that Team K-man will explore the idea of Incorporating into a Non-Profit organization. This action will protect Team Members and Board Members. Advisory Member, Mike Bickel, is looking into our next actions regarding this topic.
PO Box - A PO Box will be rented to receive payments, race entries, communication, this also is appropriate for Team Incorportation.
Kennedy Triathlon - the Triathlon will be October 9th. Active.com will be used. All members will be encouraged to participate and generated participation for this event.
Hares 'n Hounds - As a Team K-Man Service Project. Team K-Man will be putting on the Hare's 'd Hounds 5K. All proceeds from this event will directly go the community of Atascadero and aiding athletics in the community.
other - Advisory Board members were thanked for their time in attendance and for their work ahead regarding action items. A budget of $180 was approved to be used by The Board for Board Meetings.
